Opportunity to work closely with the Group Exec Office in C&IB to ensure smooth running of the day-to-day operations of the Exec.

In this role, you will

  • Work closely with the EA and EM for the Group Exec C&IB to ensure the smooth running of the office.
  • On the ground (in the office) support for Group Exec in Melbourne.
  • Ensure Group Exec has required briefing for client meetings.
  • Support the logistics for internal events led by the GE Office (such as LT, Senior Leader events), including room booking, AV support, catering.
  • Ensure Group Exec is informed of key colleague milestones to enable contact.
  • Ensure enquiries are dealt with in a professional and effective manner, through either personally handling enquiries or delegating them to appropriate person.
  • Maintenance of distribution lists, shared drive access.
  • Conform with all internal operating policies and procedures relevant to the position.
  • Manage tracking, reporting and reconciliation against key P&C LT business outcomes, including pcard, mandatory training, contract and invoicing approvals and expiry, International travel approvals, etc.
  • Cover for the EA when EA is on annual leave/RDO – this will involve travelling to Sydney to support the GE on occasion.

To be successful in the role you will be/have:

  • Competent in review of monthly expense management and contract/expenditure approval process.
  • Advanced administration skills and competent in Microsoft Office.
  • Capability to work in a fast-paced, at times complex environment.
  • Ability to build relationships with key internal and external stakeholders.
  • Sound time management skills with the ability to multi-task and prioritize accordingly.
  • 10+ years of experience supporting at Senior Executive level.
